In accordance with the regulations on data protection, we hereby inform you that your personal data gathered by means of this form, as well as those that may be collected during your attendance of Marcalliance’s General Meeting (the “General Meeting”), will be processed by Marcalliance AISBL, with headquarters at Regus Brussels EU Commission, Rond-Point Schuman 6, box 5, 1040 Brussels, Belgium, as Data Controller. Your personal data will be processed for the following purposes:
- to manage your invite, attendance and, where applicable, participation in the General Meeting, based on your consent;
- we may process your personal data to carry out a satisfaction survey after the General Meeting based on our legitimate interest of improving the conditions of future meetings;
- we may process your personal data to identify whether your firm may meet the membership requirements of Marcalliance and conduct conversations/communications with your firm to those purposes, based on our legitimate interest of expanding the membership and improving the coverage of Marcalliance member’s independent global practices;
- if your firm is selected to be part of Marcalliance, we will process your personal data to be in touch with your firm to proceed with the incorporation process, based on the performance of a contract or the implementation of pre-contractual measures;
- we may recommend your firm to Marcalliance’s members who in turn may recommend your firm to their clients that may be interested in your firm’s services, upon your previous consent;
- once you have given us your consent, we will process your personal data to send you information about other Marcalliance events and activities;
- the event may be totally or partially photographed, recorded or broadcasted. If you give us your consent to do so we will process your personal data related to your image, voice and/or video footage that may be taken during the General Meeting where you have voluntarily posed, for the purposes of promoting the Marcalliance brand and activities. If you do not give us your consent to the use and dissemination of your image and/or voice by Marcalliance, you should refrain from participating in any photo or audiovisual shoots/filming that may take place during the General Meeting. You shall be solely responsible for taking the necessary measures to ensure that you do not appear in the shoot/filming. Marcalliance, as the organiser of the General Meeting, shall not be held liable for the use or dissemination of your image and/or voice should you voluntarily decide to appear or pose in the photo or audiovisual session.
- if your image and/or voice appears incidentally in photographs and/or videos of the event, these may be used by Marcalliance to be published, used, reproduced or distributed by Marcalliance on all forms of on and offline marketing, including but not limited to Marcalliance’s website and digital and social media, as well as Marcalliance’s brochures, presentations and/or magazines for promotional purposes of Marcalliance brand and activities. The legal basis of data processing is our legitimate interest of supporting and enhancing our brand.
Your data may be transferred to Marcalliance’s member firms to carry out the purposes above mentioned. The aforementioned member firms are dedicated to providing legal & tax services and they are identified in Marcalliance website: https://marcalliance.com/. Due to the global nature of our activities, some of our member firms may be located in countries outside the European Economic Area (EEA). When we transfer data outside the EEA, we will only transfer such personal data (i) to a country which the European Commission considers to have adequate data protections laws; or (ii) where we have put in place an appropriate data transfer mechanism, such as EU Standard Contractual Clauses, to ensure that your personal data is adequately protected. Beyond this, your data will not be transferred to other third parties unless it is necessary to comply with legal obligations.
Your data will be stored for the longest of the following periods: (i) for the period necessary to achieve the purposes above mentioned; (ii) duration of the relationship between you and Marcalliance; (iii) any retention period that may be required by law; (iv) for the period of prescription of possible responsibilities that may derive form the relationship between you and Marcalliance or from the processing of your data; (v) if applicable, until you withdraw your consent or object to the processing of your personal data or submit a request for erasure your personal data.
You have the right to contact Marcalliance in order to exercise your rights of access, rectification, erasure, restriction of processing, object and portability, as appropriate, by sending a written request by email to: privacy@marcalliance.com. If you have given us your consent for the processing of your personal data, you can revoke this at any time. The revocation of your consent shall be effective for the future, the legality of the processing of your personal data up to the time of revocation remains unaffected. Marcalliance may ask you to provide a copy of your identity card or equivalent document providing your identity, if necessary.
Additionally, if you believe that our processing of personal data concerning you is in breach of the data protection regulations and we are unable to resolve the issue for you, you may take the matter to the Autorité de protection des données (Belgian Data Protection Authority).
